Take a look at six parts of Bullhorn Analytics below which will help to direct your recruiters to the most important tasks and give your agency the visibility it needs to stay ahead of the game.

1. Oneview

OneView is your standard landing page within Bullhorn Analytics. Easily access different OneView pages to see what metrics are most important for you and your team. This allows consultants to track their performance against targets at a glance.

For those using the Enterprise edition of Analytics, everything below the priority metrics can also be customised at the admin level. Plus, for businesses with split desks, separate pages can be set up for sales teams and recruiters, featuring metrics relevant to their roles.

2. Jobs pipeline

The Jobs pipeline module is designed to help recruiters track and manage their job responsibilities and progress, all within one place. You can easily view jobs owned by a specific user, plus any activity related to those jobs, regardless of who performed those activities.

Take it a step further with the Enterprise edition where Analytics provides gamification features. Gamification features within Bullhorn Analytics brings leaderboards, trends and any new deals to life for different teams within your agency. It helps to drive data quality and CRM adoption across your organisation.

Jobs pipeline can also be toggled between sales and recruiting views. By using these toggles and additional options, you can filter to show all activity on jobs with contributions from specific individuals or focus solely on activities logged by a particular user.

No matter how you set it up, the jobs pipeline module gives your recruiters better access and visibility to the jobs they’re focused on now – and those they should be working on in the future.

3. Onpoint

Onpoint is most commonly used to report on metrics, but can also be used to report over ratios. Onpoint provides metrics and ratios for your entire team and individual contributors, so you can see who’s performing well and who may need additional guidance.

Two key ratios to track that are client submissions to interviews and interviews to placements. If a client submission to interview ratio is high, submissions may not be converting well; if that ratio is low, submissions are converting well to interviews. The same is true for interviews to placements – a low ratio suggests that interviews are converting to placements. Tracking ratios like these help you gain a holistic view of the recruitment lifecycle and better understand where obstacles may lie.

4. Dashboards

Dashboards are Bullhorn Analytics’ latest feature, providing a comprehensive overview of recruiter activities and outcomes, as well as actionable insights to help guide data-driven decision-making.

Tiles at the top of dashboards track core activities, such as recruiting calls, candidate calls, and internal submissions. Below, actionable insights highlight areas needing attention, such as new candidates missing essential information (e.g., job title, phone number, email). Dashboard metrics can follow a global dashboard timeframe or be set individually for different timeframes, allowing for easy comparison without switching views.

Dashboards also allow for ratio comparisons over different periods. For example, comparing the ratio of client submissions to placements over the last 12 months versus the last 90 days helps identify trends and potential areas for action or improvement.

Customise your dashboards to the metrics that matter the most for your business will help you and your team focus on increasing your return on effort – that is, accomplishing the tasks that are most likely to result in a placed candidate or a closed deal.

5. Slice & dice

Slice & dice is particularly helpful when it comes to tracking and analysing customer relationships and identifying the most promising opportunities. By focusing on existing and promising clients, companies can improve their business development efforts and job fill rates efficiently.

Reports built in slice & dice can be customised for more granular insights, including specific teams and additional activities. With these insights, you can quickly visualise trends, like clients with high placements, to identify cross-selling opportunities and analyse customer relationships in order to maximise business potential.

6. Trends

The Trends module is a powerful tool for tracking and visualising performance metrics over time. Tracking metrics like job fill rate helps identify changes in client relationships that happen over time and helps guide your decisions to help to strengthen those relationships. Additionally, seeing the way metrics change over time enables better prediction and planning by recognising patterns and potential seasonality in client hiring behaviours.

Leveraging the trends module helps you better understand top-level statistics and detailed trends that reveal the true dynamics of client interactions. Customise what’s inside these modules to your agency’s needs, you can spot areas for improvement, gain a complete picture of your agency, and secure growth for the long run.

Leverage the power of AI using Salesforce

While industry players may be familiar with consumer applications of AI, it’s important to contextualize the capabilities of the Salesforce platform. Years ago, Salesforce introduced the Einstein platform to leverage predictive and proactive insights for customers and introduced a generative wave of AI technology with Salesforce GPT in 2023. While ChatGPT is powered by a public data model, trusted customer data shouldn’t sit in a public domain, as used by ChatGPT in 2024.

Trust is key, explains Ohayon. “With that kind of trust in mind, we started approaching that generative AI path we’ve been on for the last couple of years.” The process started with an inquiry into how the platform could connect all of our customers’ data sources in a trusted way. Ohayon elaborates: “Break down those data silos, unblock those data islands to realise a cohesive way to view your customers’ information in a trusted manner, and activate AI use cases, and the way we’ve done that is through the Einstein One platform.”

The core differentiator? Einstein One combines Data Cloud and multiple Customer 360 apps, such as Sales, Service, Marketing, and Commerce Clouds, to activate AI experiences. The platform offers predictive AI capabilities such as recommended shopping experiences on Commerce Cloud, bots to support agents, and sales tools, including Service Cloud and Forecasting. 

Meanwhile, Einstein Copilot, the generative AI source, is a conversational AI tool that operates across all of an organisation’s CRM applications. Speak to it naturally, and the platform takes action. 

Customisation = competitive edge

“It’s not enough to just provide you AI capabilities,” says Ohayon, elaborating on the development of the innovation, “but with Einstein One studio, you can customise what that AI does for you and your business.” The realisation of tailor-made capabilities allows stakeholders to elevate from the competitive noise of the marketplace, building their own capabilities by developing custom prompts and Copilot actions, all supported, explains Ohayon, “by the Einstein trust layer, which means we have a zero-retention policy. None of your customer data that exists in your Salesforce orgs will end up being retained by a public LLM.”

Lay a foundation for innovation

For industry leaders who are focused on future-proofing their organisations, Copilot offers capabilities and extensions that support the march towards adopting and optimising the adoption of AI. Because Einstein One incorporates Data Cloud and Customer 360 apps, it’s a more trusted resource across multiple categories, offering a unified view of your customers. 

As Ohayon explains, “You’re not actually moving data platform to platform, but with our integration, you can leverage it as if it lives natively on either platform. So now once you have all of that data accessible on Salesforce, you truly are ready to activate those AI experiences because you have that real, true, unified view of your customer.”

The power of platform-native partnership

Let’s say you want to automate a creative flow to send a trigger to a certain candidate via email and have AI do that based on real-time transcription from a call that you had with them. As a Salesforce customer, you’re now empowered to set that in motion with data cloud connectivity. You have a suite of functionality, based on good, trusted data, that empowers or accelerates what AI can do for your company. 

The key is enriching day-to-day workflow. “We want the intelligence that AI provides to be within that flow of work,” urges Ohayon. “It’s not just what actions you can take, but how you and your customers operate day to day.”

Drive behavior focused on high-value activities

Everyone knows the pain points of conversing with bots, where there is no point of connection between a chatbot and a support agent. With AI, companies can tap into the power of the data cloud and leverage that single source of truth to summarise a customer’s previous interactions across multiple touchpoints, all so your users can provide customers with a continuous experience.

Customers can benefit from Salesforce learnings to drive more interesting, valuable functionality. For example, many customers on the Salesforce platform run a contact center business within their business to manage client issues. Adoption of Service Cloud amongst clients is a great use case that we’re seeing amongst clients that have a separate call center to handle client issues in the moment using cases.

When users are freed from manual tasks, they can focus on higher-value activities—building relationships with clients and candidates or developing existing relationships within your pools.

The roadmap to leveraging AI in the future

Looking ahead at the conversations in Salesforce’s boardrooms around the biggest questions driving innovation in the next six, twelve, or 24 months, many customers are reeling from being asked to do more with less. “I think there’s also an interesting kind of twist that we’ve started to make in speaking about AI,” shares Ohayon. “It’s not just how certain tasks can be replaced by AI, but how we work more efficiently with AI to spend more time with our customers.”

Rather than simply replacing tasks, use the platforms to enrich customer interactions to drive revenue retention rate and customer success. “Instead of feeling like my job is going to be replaced by AI, which is certainly not where we’re heading, use AI for good. Make your job and make your day that much more enriched, that much more informed.”

  • Saved search card: Now, when a saved search is selected on selected lists, users will be able to open the advanced search window and know that they’re viewing saved search criteria.   • Semantic match enhancements: We’ve made some updates to our stored repository of postal codes to ensure accuracy.   • Enhanced error messaging: We’ve enhanced the error messaging on the Copilot Admin page to include which LLM field is causing an error when testing the connection to the selected LLM. This allows the user to effectively troubleshoot when setting up their LLM.

You and your team need every tool at your disposal to ensure you’re finding the best opportunities as soon as they arise – and that includes SourceBreaker.

To help customers learn how to make the most of SourceBreaker, Senior Customer Success Manager Monica Sidhu shares a few best practices and top tips. Read on below to learn how to find top candidates quickly, set up business development, leverage automations so you never miss a job, and utilise company intel to put you one step ahead of the competition.

Never miss a new job lead

“We want to make sure that you’ve got your business development side covered and you’re also automating all of your business development and lead searches,” Sidhu states. With SourceBreaker, that’s as easy as clicking a button.

Within SourceBreaker, you can find live matching job leads with a single click. With the “search leads” button, SourceBreaker can search for open jobs with the criteria you outline. “Straight away, there’s a ton of jobs that appears which you’ll be able to reach out to as new job leads,” explains Sidhu.

When you run a search for leads in SourceBreaker, you’ll notice two tabs at the top of your search: “SourceBreaker leads” and “aggregator leads.” SourceBreaker leads are directly from company career pages, while aggregator leads are pulled from external, third-party career sites. “This is a really good way of running those job lead searches because it’s covering all of those areas for you,” said Sidhu. “It’s saving you time, so you don’t have to go to each of these individual company websites or scroll through those job site pages just to see if there are jobs posted on there.”

A couple of other searches that Sidhu recommends setting up are queries based on your target companies as well as your current and previously worked with clients.

First, to build a search around a target company, simply add in the names of those targets into your search, and SourceBreaker will populate all of those companies’ open jobs within your search. You can also refine that search by location to only search for job leads within a certain geographical area. You can also narrow your search by adding in job descriptions, skills, or keywords, so your search provides you with the most relevant jobs to what you’re looking for. Sidhu also recommends building a search targeting your current – or even past – clients. “Those are going to be really easy wins for you because you’re not having to go in with a cold conversation. You are just going to get notified. You’ve already got the relationship there.”

If you’re focusing on finding leads for a specific role, try utilising a split job title search. For example, if you’re looking for DevOps engineers, start building your search with just the “DevOps” keyword. Then, add in your other keywords like “engineer,” “developer,” or “architect.” You’ll then merge this second term group, so the search reads “engineer or developer or architect.” This tells your search mechanism that as long as the word DevOps and one of these terms appear somewhere in that job title, to find those jobs and include them in your search. This is a great way to ensure you’re the first to the most promising job leads out there.

You can also automate your new lead searches with SourceBot, which runs your search across your job boards and Bullhorn database 24/7. SourceBreaker will notify you whenever new candidates match your search, both through a daily email and right within the SourceBreaker platform.

Leverage intel to stay one step ahead

Want to know what companies might be hiring in the near future? Head to the Intel section within SourceBreaker. In the funding round section, you can see companies that have recently received funding. But that’s not all; you can also see where they’re based, what industry they’re in, the funding type they received, how much money they received, and when the funding round was announced. Similarly to SourceBots, you can set alerts to receive notifications about the latest funding rounds.

If you’re not familiar with funding rounds, SourceBreaker has you covered. You can always click on a funding round to learn more about what that might mean for a company. “As a recruiter, I would definitely be thinking if a company has received funding, they are definitely going to grow,” Sidhu said.

Companies in this list may also have a number displayed next to them; that indicates the number of jobs they’re currently hiring for. You can click on that number and see a full list of every job opening they have.

SourceBreaker also provides you with a list of key people within each company, as well as their email and a direct link to their LinkedIn profile. With the email finder function, you can search for anyone within the company and find their contact information. Similarly, SourceBreaker also provides you with a newsfeed section containing any recent articles about the company, so when you do reach out, you can show that you’ve done your research.

Leveraging this intel is especially helpful if you’re trying to break into a new market. “This is like a ready-made target company list for you, without you even having to do that research,” Sidhu said.

This intel, combined with automated, tailored searches, will have you uncovering the very best candidates, job leads, and business development opportunities, ensuring your agency is always one step ahead.

  • Resolved Canvas model issue: We have resolved an issue in the Canvas model that had caused intermittent errors preventing reports from running. Reports are now running successfully without intermittent model-related errors.

  • Route notifications to managers:  The “Reports To” field can now be utilised for Send Notification and Send Email steps in automations. This unlocks the ability to route notifications to managers, for example, notifying the recruiting manager if a candidate submits a low NPS rating regarding their recruitment experience.

  • You can now set the duration for log file retention via the properties file. This reduces storage requirements with archived logs.

As agencies embark upon their generative AI journeys and incorporate Copilot into their workflows, one of their most frequently asked questions is, “Which LLM (Large Language Model) should I choose to integrate with Copilot?”

There’s no one right answer; which LLM is best for you and your team depends on your business goals and what you want to achieve with Copilot. Regardless of your decision, you’ll still be able to leverage generative AI to craft stronger messages, send more pitches, and generate profile summaries, screening questions, and more — all without leaving Bullhorn. 

Let’s break down what an LLM is, which LLMs integrate with Copilot, what the Bullhorn experts have to say about LLMs, and how you can decide which one is right for your recruitment business.

What is an LLM?

An LLM is a deep learning model that has been pre-trained on vast amounts of data and is used to power generative AI.

LLMs use tokens to understand and respond to prompts. They can be thought of as pieces of words, though they also include spaces and punctuation marks; each one is roughly four characters of typical English text. When you ask AI a question, it looks at each token – that is, each word, space, and piece of punctuation – to understand and respond to your question. You can learn more about tokens – and how to count them – here. Different LLMs also have different token limits, which limit the length of the prompt you input and the response the LLM generates; a shorter token limit means that you’ll need to input shorter prompts.

Why do I need to choose an LLM to integrate with Copilot?

“Copilot is the vehicle through which users access what the LLM can do,” said Nicole Krensky, Director of Product Marketing, Automation & AI at Bullhorn. Once you choose your LLM, you will connect that service with Copilot using an API. Copilot then pushes the information in your database, like candidate resumes, skills, education, and work history, along with the prompt you build or select, to the LLM to generate your desired output.

“Think of it as powering the engine in the background,” added Ben Carter, Senior Director, Automation & AI at Bullhorn.

Which LLMs integrate with Copilot?

Bullhorn currently supports Azure OpenAI and OpenAI LLMs. Customers have seen success with the following models: 

  • OpenAI GPT-3.5-Turbo
  • OpenAI GPT-4
  • Azure OpenAI GPT-3.5-Turbo
  • Azure OpenAI GPT-4 

OpenAI is a leading AI research lab known for developing advanced AI technologies, aimed at broad applications in various industries. Azure OpenAI is a collaboration between Microsoft and OpenAI that integrates OpenAI’s models with Azure’s cloud computing platform, offering scalable AI solutions to businesses. While OpenAI is a series of models, Azure OpenAI is a Microsoft-specific learning model. 

Each LLM has its own instructions for getting started, so we recommend reviewing the OpenAI Quickstart Guide, the Creating and deploying an Azure OpenAI Service Resource, and other help content from those providers. As part of the enablement process, you’ll need to provide details from your LLM such as the model, API key, and token limit.

What are the differences between these LLMs?

In addition to the differences between OpenAI and Azure OpenAI, GPT-3.5-Turbo and GPT-4 vary in a few ways.

Both GPT-3.5-Turbo and GPT-4 models are optimised for chat and work well for traditional completion tasks. Both models can understand and generate natural language, but GPT-4 can solve more difficult problems with greater accuracy. On the other handGPT-3.5-Turbo models are significantly faster than GPT-4 models and are offered at a lower price point. However, the increased price of GPT-4 models unlocks a connection to the internet that allows you to use responses from online sources. While token limits of GPT-3.5-Turbo models are lower than GPT-4 models, if you’d like to input longer prompts, both OpenAI and Azure OpenAI offer GPT-3.5-Turbo options with higher token limits.

Which LLM is right for my organisation?

With Copilot, selecting the right LLM depends on factors like:

  • Your number of users
  • Number of requests your users might make per day
  • How much data you have
  • What speed you’re looking for

Consult with your IT team, research solutions favored by industry experts, or read comparative analyses of your options to determine the most suitable large language model for your needs. When choosing a third-party vendor, follow best practices and ensure that all of your security concerns have been addressed before you start using these technologies. Both Open AI and Azure Open AI have robust data security protections; you can review Open AI’s data usage for Consumer Services and data, privacy, and security for Azure OpenAI Service.

“[Think about] which one will be most suitable for the tasks you’re undertaking with Copilot,” said Carter. “No one passes a driving test and buys a Ferrari. The whole point of Copilot Starter is that it enables you to dip your toe in and see if your data is even in the right place to start using generative AI.”

  • Copilot Generative Candidate Card: The Copilot Generative Candidate Card integrates with Azure & OpenAI and can generate email messages, screening questions, improve resumes, and much more by pulling selected data from the candidate record.
  • Copilot Admin Page: A Copilot Admin page has been added so that Bullhorn Admin users can configure the integration between Bullhorn and their LLM (Large Language
    Model). The configuration will initially support OpenAI and Azure LLMs.

  • SEEK integration: We made an update to improve the visibility of Candidates’ Questionnaire responses. This streamlines the review process, allowing you to access essential questionnaire notes conveniently without navigating away from the Submission List view under the Candidate Notes tab. 
  • Security update for May release: Since Bullhorn prioritises the security of our products and our customers, we are applying updated security measures across our offerings. A key security enhancement in our 2024.5 May release restricts the ability to accept HTML into our free text fields. If this change impacts any existing automations or customisations you have, we encourage you to contact Bullhorn support for assistance with any questions you may have.

  • WCAG enhancements for chat engagements: Chats have been enhanced based on compliance best practices, ensuring accessible use of these functions by a broader range of survey recipients.   • Order workflow enhancements: We have streamlined the onboarding processes for clients by automating the recognition of previously completed forms by candidates. Recruiters gain visibility into completed forms and can easily delete previously completed forms from packages. Admins can designate certain forms to always be sent, even when previously completed by a candidate. These changes enhance the overall efficiency and customisation of the onboarding workflow.
